A meeting of the Executive Directors of the Texas Geocaching Association was held on April 6, 2021, at 7pm by zoom.

MINUTES

The meeting was called to order at 7:04pm.

The minutes from the Executive Directors meeting dated March 14th, 2021, are approved.

Finance

Michael Cash presented the financial report.

The GeoWoodstock Checking Account currently has $3,035.41 in funds

The Regular Business Checking Account currently has $8,364.31 in funds

That makes a total of $11,399.72 in funds

Major expenses for Challenge (e.g., Wilks Center) have been paid

The tax specialist has also been hired

SwagFactory expenditures (shipping/additional coins) in the amount of approximately $1,000 have also been factored in

There is an outstanding expense for coins (codes) for the upcoming mega events (Mingo, Midwest Geobash, Jackson County) and additional membership coins

Michael Cash discussed with the Board developments with the tax specialist moving forward

Challenge 2022

The cache page for Challenge 2022 is in development

Hotel deals for the week of Challenge will be released soon

MsPatt is forming committees and will start exploring Conroe

Roundup 2021

Nothing new to report

Round-Up 2021 is planned for October 15-17, 2021 at Mineral Wells State Park

Competition: a Chili Cook Off between the regions

Individual Challenge

The Board will submit a survey to the TXGA Membership regarding moving the TXGA Individual Challenge to the weekend of Roundup (over the objection of the Secretary)

Marcellus

The Board discussed a photographer for Challenge next year

Marcellus discussed an idea of having a storytelling event at Challenge next year – will be considered for Roundup 2021

Membership

Membership coins given to reps are almost sold out

More coins have been ordered

The Board (David and William) are working on compiling a full list of membership emails for surveys and voting

COTM

The Board discussed the Cacher of the Month nominee for the next two months

The Board also discussed implementing a Cache of the Month award

The Board further discussed creating an html icon so that recipients could include the icon on their Geocaching profiles

Maze

The Board discussed the even this weekend and in May to prepare for the Maze traveling to three Mega Events this summer

The meeting was adjourned at 8:00pm.

The Board will next meet May 4th, 2021.
